Who We Are

Winchburgh Community Growing Group (CGG) and Winchburgh Wombles are a non-commercial volunteer community group based in Winchburgh, West Lothian, Scotland. We organise community litter-picking ("Wombling") across the village.

Data We Collect

When you sign up as a volunteer, we collect:

  • Name and username — to identify your account
  • Email address — for welcome emails, password resets, and reward notifications
  • Phone number (optional) — for volunteer coordination
  • Delivery address — to deliver your PPE/hi-vis kit
  • Hi-vis sizes & household count — to prepare the correct kit
  • Work log data — area, date, duration, bags collected, patrol count

How We Use Your Data

  • Volunteer management — tracking activity and coordinating Wombling
  • PPE delivery — sending your hi-vis kit to your address
  • Sun Token rewards — calculating hours worked and issuing quarterly rewards
  • Communications — welcome emails, reward notifications, and occasional group messages

Cookies

We use a single session cookie to keep you logged in. That's it. We do not use analytics cookies, advertising cookies, or any third-party tracking.

Data Sharing

We do not share your personal data with anyone.

Data Retention

Your data is kept for as long as you remain an active volunteer. If you leave the group, you can request deletion of your data by emailing womble@winchburghcgg.co.uk.

Your Rights

You can request at any time:

  • Access — see what data we hold about you
  • Correction — update any incorrect information
  • Deletion — have your data removed from the system

Terms of Use

  • By signing up, you agree to follow the Health & Safety guidelines provided in the Induction Pack
  • You agree to wear PPE (hi-vis vest, gloves) while Wombling and report all activity
  • If you are no longer able to volunteer, please let us know so we can collect your kit for reuse — each household kit costs approximately £105
  • Work log data you submit is used for rewards calculation and community reporting
